Prerequisites
An admin login with access to the Accounting module.
The date (and branch, if you reconcile per branch) you want to check.
In the left menu, open Accounting and click Reports, then open the Reconciliation report.
Set the date you are reconciling to. Filter by branch if you reconcile each branch separately.
Generate the report. Each row shows a ledger's Opening Balance, Debits, Credits, and Closing Balance so you can see whether the movement adds up.
For any ledger that looks wrong, drill into it to view the individual transactions, dates, and references.
Fix the cause — a wrong posting or an incorrect opening balance — by posting the right correction.
Re-run the report with the same date to confirm the balances now reconcile, then Export it for your records.
Common pitfalls & FAQ
When should I reconcile? Most SACCOs reconcile at end of day or period close, and always before producing financial statements.
A balance doesn't match — what now? Drill into that ledger and check each posting. The usual causes are a transaction posted to the wrong ledger or a mis-set opening balance.
Reconcile vs Trial Balance. The Trial Balance is a quick debits-equal-credits check across all ledgers; reconciliation looks at each ledger's movement in detail.
Do corrections need approval? Follow your SACCO's controls for who may post corrections before you adjust anything.
